BOARD OF DIRECTORS MEETING

MINUTES

JUNE 2, 2015

 

MEMBERS PRESENT:

The meeting was called to order at 6:30 p.m. by Kohanbani.

 

OPEN FORUM – 6:30 p.m.

MINUTES

A motion by Kohanbani to approve the March 24, 2015 Board of Directors Meeting minutes was seconded by Kesick and carried unanimously.

 

COMMITTEE REPORTS

Architectural Review

Discussion on approved garage doors. The Committee will continue to evaluate the approved garage doors.

 

Shared Facilities

The list of events have been circulated to the community. The adult pool party will be moved to July 11th.

 

Communications Committee

The email blast/text alert systems have been tabled until the July meeting.

 

FINANCIAL MANAGEMENT

Status of Operations – April 30, 2015

As of April 30, 2015 the Association has an un-audited surplus of $7,929. Association investments total $1,302,847. Accounts Receivables total $10,650.

 

CONTRACT SERVICES

Grounds Maintenance

Genesis Landscapes continues to service the property on a 7 to 10 day schedule, weather permitting. The irrigation system is functioning properly. Management is working with Kate Davidson on the following projects: evaluating the condition of the Ash trees, the girdled trees, tree pruning on the entire property, improvements on Baggett Terrace and around the new sign when installed.

 

Clubhouse Sign

The sign permits have been submitted to the County and Management anticipates final approval the first week of June.

 

Pool

The pool opened with no issues. Management is working on the replacement of the water fountains in the guard area and some minor repairs in the bathhouse. Management will be meeting with the guards to review the expectations for the summer.

 

General Maintenance

  • Management needs to address the location of the WiFi with Comcast and Vintage Security to ensure that the access panel will function properly.

  • Failing concrete sections in front of the Clubhouse will be replaced at no charge to the Association.

  • The flags at the entrance were replaced.

 

Insurance Loss

Management is holding payment to the vendor until the carpet repairs are completed satisfactorily.

 

Maintenance Inspection

The follow-up inspection will be completed the first week of June and Management will schedule hearings in July.

 

RESIDENT & MISCELLANEOUS MATTERS

  • Discussion regarding the issue of teenage children causing a disturbance on Baggett Terrace.

  • Discussion on covenants violations on Trestle Terrace.

  • A motion by Hall to approve towing reimbursement for the resident on Grand Central was seconded by Jones. The motion failed. A motion by Kohanbani to deny towing reimbursement for a resident on Grand Central was seconded by Kesick and carried 3-2.

  • A motion by Kesick to allow Mr. Gantt to place his Italian Icy Cart outside the pool area on weekends was seconded by Jones and carried 4-1.

  • A motion by Kesick to tow any associated vehicles from 45615 Iron Horse Terrace if vehicle is violating the rules and regulations was seconded by Kohanbani and carried unanimously.

 

EXECUTIVE SESSION

At 7:45 pm, a motion by Kohanbani to convene in executive session for the purposes of reviewing delinquent owner accounts was seconded by Kesick and carried unanimously.

 

At 8:00 pm, a motion by Kohanbani to reconvene in open session was seconded by Kesick and carried unanimously.

ADJOURNMENT:

The meeting was adjourned at: 8:00 p.m.
